What each alert means

Every alert on the dashboard and in the bell: what triggers it, what it says, where its button goes and what makes it go away.

ConceptUpdated

The system checks your agency's data all the time and raises an alert when something needs a person. Alerts appear in Needs attention on the Dashboard, in the bell's Activity panel on every screen, and some of them on the lock screen of Owner's phone. An alert goes away by itself as soon as its cause is gone.

The number next to Dashboard in the menu is the number of kinds of alert waiting, not the number of records.

The alerts on the Dashboard, in the bell and in the menu badge follow the branch chosen in the top bar, and only cover the branches your role covers. E-invoicing alerts are the only ones that always cover the whole agency.

Overdue balances

  • When: a confirmed booking still has a balance and its balance due date has passed.
  • It says: 25 bookings have overdue balances (or 1 booking has an overdue balance), with the total, for example BHD 11,625.090 in total. Under it, the three oldest overdue bookings with a reminder button and a Record the balance button.
  • The button: See all or Open list opens Payments on the Outstanding tab. If your role does not see payments, it opens the bookings list filtered on overdue bookings.
  • It goes away when: the balance is paid, the due date is moved later, or the booking is cancelled.
  • On Owner's phone: Payment overdue.

Passports that expire too soon

  • When: a traveller on a confirmed booking for a trip that has not left yet has a passport that expires less than six months after the trip comes back, or has no passport expiry date at all.
  • It says: 6 passports expire too soon for the trip, with up to three traveller names.
  • The button: Check passports opens Travellers filtered on passports to check. When only one traveller is concerned, Open booking opens the booking.
  • It goes away when: the traveller's new passport expiry date is saved, or the trip leaves.
  • On Owner's phone: Passport check.

Quotations about to expire

  • When: a quotation that was sent, or that the customer opened, is valid until today or one of the next two days.
  • It says: 8 quotations expire in the next two days, with up to three quotation numbers and customers.
  • The button: Open quotations opens Quotations; with only one, Open quotation opens it.
  • It goes away when: the customer accepts or declines, you extend the validity, or the date passes.
  • On Owner's phone: Quotations expiring.

  • The button: View checklist opens Tasks.
  • It goes away when: the tasks are marked done or their due dates are moved.

Trips below their minimum

  • When: a published trip leaves within 21 days and has fewer counted travellers than its minimum group size.
  • It says: 2 trips leaving soon are below their minimum, with each trip and its travellers out of the minimum, for example Istanbul and Cappadocia 6/8. With one trip: Istanbul and Cappadocia is below its minimum.
  • The button: Open trips opens Trips and packages; with one trip, Open trip opens it.
  • It goes away when: the trip reaches its minimum, its minimum is lowered, it is no longer on sale, or it leaves.
  • On Owner's phone: Trip below minimum. The Trips at risk tile looks further ahead, 60 days.

Customer payments to confirm

  • When: a customer reported from their account that they paid, for example by bank transfer, and nobody has confirmed or rejected it yet.

  • It goes away when: each report is confirmed (the payment is recorded) or rejected.
  • Only people whose role may see payments see this alert.

Customer chats waiting for a reply

  • When: an open conversation in Inbox has a customer message nobody has read yet.
  • It says: 3 customer chats wait for a reply (or 1 customer chat waits for a reply), with From the customer app.
  • The button: Open inbox opens Inbox.
  • It goes away when: someone opens the conversation. Opening it marks the customer's messages as read. See Reply to a customer chat.
  • Only people whose role may chat with customers in the inbox see this alert. In a branch view, it counts the chats of customers with a booking in that branch and of customers with no booking yet.

Hotel rooms given back on the release date

  • When: a hotel contract reached its release date, and the system gave back to the hotel the rooms nobody booked or put on hold. The alert stays for three days.

Invoices issued while a branch's e-invoicing is off never count here.
  • It says: 2 e-invoicing items need attention (ZATCA).
  • The button: Open opens E-invoices.
  • It goes away when: the invoices are accepted and the devices are working with a valid certificate.
  • Only people whose role shows money figures see this alert.

Note

Customer details (mobile and email) in the overdue alert appear only for roles that may see customers, and amounts only for roles that may see money figures. The alert itself appears for everyone who can see the dashboard.
