Departures: common questions
Why a trip is missing from the board, how readiness and minimums are counted, and how passports appear in manifests.
Short answers to the questions agencies ask most about Departures.
Why is my trip not on the board?
The board shows trips that are open for sale or closed for sale and leave between today and the end of the period you chose. A draft, cancelled or completed trip is never shown, and neither is a trip that has already left. Choose 90 days if the trip leaves later than the current period.
What is the difference between Excel (CSV) and Excel with passports?
Excel (CSV) downloads what you see on the open tab (the passenger manifest or the rooming list), with passport numbers masked. It is for checking, or for a hotel. Excel with passports downloads one Excel file with two sheets, Manifest and Rooming list (named in the language of your screen), for the airline. The manifest sheet has the booking, customer, last and first name, type, gender, date of birth, nationality, passport number, passport expiry and phone of every traveller.
Why are the passport numbers still masked in the Excel file?
Full passport numbers appear only when your role may see full passport numbers. Otherwise the file shows the last four characters, like on screen. Ask the agency owner if you need full numbers.
Is a manifest export recorded?
Yes. Every Excel with passports download is recorded in the trip's history as "Manifest for … exported", with who did it and when. The message Manifest downloading. Every export is logged. reminds you.
Who can see Departures and export manifests?
By default the owner, managers and operations. Sales, finance and viewers do not see Departures. Exporting the Excel manifest is a separate permission, held by the same three roles by default.
How are MR, MRS, MSTR, MISS and INF chosen?
From the traveller type on the booking and the traveller's sex. Infants (under 2) get INF. Children get MSTR or MISS. Adults get MR or MRS. The ages come from Settings → Lists → Traveller types.
Why does the trip say "Below minimum" when it has enough bookings?
The trip counts travellers by its own rule: when booked, when a deposit is paid, or when fully paid. Infants never count. See Check upcoming departures and minimums.
Why is a trip 100% on documents when nothing is uploaded?
The trip asks for no documents. Edit the trip and tick the documents each traveller needs, and the score will count them.
Can I change the airport code shown on the board?
Yes. The first code is the agency's home airport, set in Settings → Preferences → Home airport. The second is the trip's code on cards, set on the trip.
