Issue a ZATCA e-invoice for a Saudi company
Set up a Saudi business customer's VAT number and national address, issue its tax invoice and check that ZATCA cleared it.
A Saudi company with a VAT number gets a tax invoice (B2B). ZATCA must clear it before you give it to the company, and it needs the buyer's tax details and national address. Prepare the customer once; every later invoice uses it.
Before you start
- The booking belongs to a branch in Saudi Arabia that has e-invoicing on and a device that shows Ready in Settings → E-invoicing (ZATCA). While e-invoicing is still off (until the production device is ready), the invoice is not an e-invoice and is never sent to ZATCA later. If e-invoicing is on but no device is ready, the invoice is issued and waits as ZATCA: Pending.
- The booking is in a currency with 2 decimals, normally SAR.
- You need Issue invoices and credit notes, and Add and edit customers to change the customer.
Steps
- Open the customer and press Edit. Set Customer type to Company.
- Under Tax details for invoices, type the VAT number: 15 digits that start and end with 3. If the company has no VAT number, type its Commercial registration (10 digits) or choose an Other id type and number.
- Choose Country Saudi Arabia, then fill in the national address: Street, Building number (4 digits), Additional number (4 digits), District, City and Postal code (5 digits). Press Save.
- Open the booking, go to the Payments tab and press Issue invoice.
- Check the chip on the invoice row. ZATCA: Cleared means the invoice is valid and you can give it to the buyer.
- Press the printer button (Print or save PDF) and send the PDF. If the buyer asks for the XML, press the chip and download Cleared XML (legal copy).
After ZATCA clears it
- The print shows the QR code, Cleared by ZATCA, the UUID and the Invoice counter. The QR on a cleared invoice is the one ZATCA returned.
- The invoice prints as Tax invoice with the buyer's VAT number (or registration) and address.
- A credit note or a debit note for this invoice is also cleared by ZATCA before it counts.
Warning
Until a tax invoice is cleared, its print has no QR code and says Not yet cleared by ZATCA: not to be given to the buyer as a tax invoice. Do not send it until the chip shows ZATCA: Cleared.

- Enter the id number or Choose what kind of id this is: fill in both parts of Other id.
- The chip shows ZATCA: Pending: ZATCA has not answered yet, or the branch has no ready device. The system retries by itself. See Fix and resend a failed or rejected e-invoice.
- The chip shows ZATCA: Rejected or ZATCA: Not sent: press it to read the messages, for example BR-KSA-81 (no VAT number or other id) or BR-KSA-10 (address incomplete, including Country). Fix the customer, then press Correct and send as a new document. Each code is explained in ZATCA validation and rejection codes.
