Choose a simplified or a standard (B2B) invoice

Decide which customers get a tax invoice (B2B) and which get a simplified tax invoice, and what changes on the document.

How toUpdated

The system picks the kind of invoice by itself when you issue it. A business customer gets a Tax invoice (standard, B2B) with its tax details; everyone else gets a Simplified tax invoice (B2C). You decide the rule once, and set the customer's details right.

How the system decides

The customer is Your rule The invoice
A person any Simplified tax invoice
A company with a VAT number Companies with a VAT number (the default) Tax invoice
A company without a VAT number Companies with a VAT number Simplified tax invoice
Any company Every company customer Tax invoice
Anyone Nobody (always simplified) Simplified tax invoice

When the branch's tax rules charge no tax at all (for example in Qatar or Kuwait), the document prints as a plain Invoice.

Steps

  1. To set the rule for the agency, open Settings → Taxes. Under Tax invoices for businesses, choose Who gets a tax invoice (B2B): Companies with a VAT number, Every company customer or Nobody (always simplified). It saves at once.
  2. To give one branch its own rule, open Settings → Branches, edit the branch and choose Tax invoice (B2B) for. As the agency decides follows step 1.
  3. To make a customer get a tax invoice, open the customer and press Edit. Set Customer type to Company.
  4. Under Tax details for invoices, type the VAT number and, if they have them, the Commercial registration or an Other id. Fill in the address. Press Save.
  5. Issue the invoice on the booking. The row shows Tax invoice or Simplified tax invoice.

What changes on the document

  • Tax invoice: the buyer box prints the company name, its VAT number (or its registration or other id) and its address.
  • Simplified tax invoice: the buyer box prints the customer's name and contact details.
  • In Saudi Arabia a tax invoice must be cleared by ZATCA before you give it to the buyer, and needs the buyer's full address before it can be issued. A simplified one is reported to ZATCA within 24 hours. See ZATCA e-invoicing explained.
  • Credit notes and debit notes keep the kind of the invoice they belong to.

Note

The kind is fixed when the invoice is issued. If you complete a customer's VAT number afterwards, credit the invoice in full and issue a new one to get a tax invoice.

If something goes wrong

  • This customer gets a tax invoice (business with a VAT number). Complete their address first: …: the customer gets a tax invoice but its address is missing the fields listed. Complete them on the customer and issue again.
  • Only companies have a VAT number here. Choose "Company".: you typed a VAT number on a person. Change Customer type to Company.
  • VAT number: …: the number does not match the country's format, for example 15 digits that start and end with 3 in Saudi Arabia.
