Export payments and open balances

Download to Excel the payments received in a period, the balances customers still owe, or a list of bookings.

How toUpdated

Export when your accountant asks for the month's receipts, or when you want the list of customers who still owe money in a spreadsheet. The file is an Excel workbook in the language you use the system in.

Export the payments received

  1. Open Payments and the Received tab.
  2. Set the filters: the period (Today, Last 7 days, This month or Dates), the Method, the Kind and, if you want, a search.
  3. Press Export at the top. The message Payments downloading for Excel appears and the file downloads.

The file has one row per payment or refund, with these columns: Receipt, Date, Kind (Payment or Refund), Booking, Customer, Phone, Trip, Method, Reference, Currency, Amount (refunds as a minus) and Note. Amounts are in each booking's own currency.

Export the open balances

  1. Open Payments and the Outstanding tab. Search if you want only some customers.
  2. Press Export. The message Open balances downloading for Excel appears.

The file lists the confirmed bookings that still owe money, the earliest due first.

Export bookings

  1. Open Bookings and set the payment filter, the Trip and the search as you need.
  2. Press Export. To export only some bookings, tick them first: the button becomes Export …, or use Export to Excel in the bar that appears.

The bookings and open balances files have these columns: Booking, Created, Customer, Phone, Email, Trip, Code, Departs, Returns, Adults, Children, Infants, Currency, Total, Paid, Balance, Due, Payment (the payment state, for example Overdue) and Source.

Note

One file holds up to 50,000 rows. If your agency has more, export one period or one trip at a time. If your role is limited to one branch, the file holds only your branch.

Who can export

  • Payments: anyone who can see payments.
  • Open balances and bookings: anyone who can see bookings.
  • Reports and the accounting journal have their own exports: see Run and export a report.
