Duplicate, extend, decline or delete a quotation

Copy a quotation to send new options, extend one that expired, record that the customer said no, or delete one you no longer need.

How toUpdated

A quotation rarely stays the same from the first draft to the booking. Use these actions when the customer wants new options, when the offer ran out of time, or when the deal is off.

Before you start

  • You need permission to create and send quotations. All four actions are in the quotation's ⋮ menu or on its banners.

Duplicate a quotation

Use it to send new options after the customer declined, or to start a similar quotation for the same customer.

  1. Open the quotation.
  2. Press ⋮ → Duplicate, or Duplicate on the declined banner.
  3. The copy opens with the message Copied as ….

The copy has a new number and its own customer link, the same customer, lead, trip, travellers and options, and a fresh Valid until date (today plus your agency's usual validity). It starts as Draft, and you are its owner. Change what you need, then send it. The original quotation stays as it was.

Extend an expired quotation

  1. Open the quotation. It shows This quotation has expired. Extend it to send it again.
  2. Press Extend … days. The number of days is your agency's usual validity (Settings → Preferences → Quotes are valid for, 7 days unless changed).
  3. The message shows the new Valid until date.

The quotation goes back to Draft and the customer's link works again. Send it again so the customer knows. To pick another date, use ⋮ → Edit quotation and change Valid until.

Mark a quotation as declined

Use it when the customer told you by phone or in person that they do not want it.

  1. Open the quotation.
  2. Press ⋮ → Mark as declined.

The message Marked as declined appears and the status becomes Declined. The customer can no longer choose an option on the link. Duplicate it if you want to offer something else.

Delete a quotation

  1. Open the quotation.
  2. Press Delete under the options, or ⋮ → Delete.
  3. In Delete …? (The customer can no longer open it.), press Delete.

The message Quotation deleted appears and you return to the list.

Warning

Deleting cannot be undone, and the customer's link stops working at once. To keep the record for your reports, mark the quotation as declined instead.

If something goes wrong

  • Mark as declined is missing: the quotation is accepted or booked, or already declined.
  • Delete is missing, or This quotation became a booking and cannot be removed: a quotation that became a booking stays as the booking's history. Change or cancel the booking itself.
  • This quotation was accepted and is now a booking: the customer accepted it, so it can no longer be changed. Duplicate it to send new options.
