Record a payment to a supplier
Mark a supplier cost as paid in one click, or record a part payment with its date, method and reference, and undo it if needed.
Record a payment each time you pay a supplier, in full or in part. What is still owed goes down at once, and the cost leaves Still to pay when it is fully paid.
Before you start
- You need permission to manage suppliers and costs.
- The cost must be recorded first: see Record a supplier cost.
Pay the whole amount today
- Open Suppliers and profit and stay on the Payables tab, with Still to pay chosen.
- Find the cost and press Paid on its row.
The whole amount still owed is recorded as paid today, by bank transfer. The message "… marked as paid" appears with Undo for 6 seconds.
Record a part payment, or a payment on another day
- On the Payables tab, press Part on the cost's row. You can also open the supplier on the Suppliers tab and press Record payment next to the cost.
- The Pay … window shows what is Still owed and when it is Due.
- Choose Paid in full to pay everything still owed, or Part payment and type the Amount paid now in the cost's currency.
- Check Paid on. It is today; it cannot be a future date.
- Choose how you paid in Paid by. Leave Bank transfer for a transfer.
- Type the Reference, for example the transfer or cheque number.
- Press Record payment.
After you record it
- The message "Payment to … recorded" appears with Undo for 6 seconds.
- What is still owed goes down on Payables, in the supplier's Still owed and in Owed to suppliers.
- When the payments cover the whole cost, its Due chip shows Paid and it leaves Still to pay.
- To see every payment on a cost, open the supplier, press ⋮ next to the cost and choose Payments: you see Paid on, Amount, By (the method and who recorded it) and Reference.
- The trip's profit does not change: it uses the cost's own saved rate, not the rate on the day you pay.
- In the accounting export, each payment is its own entry on its own day, at that day's exchange rate.
Warning
Undo takes back the latest payment on that cost. Use it only right after a mistake: once the message has gone, the payment stays. A payment shown as Money back is money the supplier returned to you.
If something goes wrong
- Record payment stays grey: the amount is empty, zero, or more than what is still owed.
- That is more than is still owed (…): someone else paid part of this cost in the meantime. Pay no more than the amount shown.
- There is no payment to take back: the cost has no payment to undo.
- Paid and Part are missing: the cost is fully paid, or your role does not include managing suppliers.
