Export the journal to your accounting software
Map your chart of accounts once, then download a balanced journal of invoices, payments and supplier costs for Xero, QuickBooks, Zoho Books, Odoo or Excel.
Export the journal when your accountant closes the month. It turns every invoice, credit note, payment, refund, supplier cost and supplier payment of the period into double-entry lines, in the layout your accounting software imports.
Before you start
- Downloading the journal needs permission to export reports. Changing the account mapping needs permission to manage settings.
- Map your accounts once in Settings → Accounting (below). Until you do, the journal uses the default codes shown there, for example 4000 Sales and 1100 Accounts receivable. Account mapping on the Accounting export tab opens that screen; without permission to manage settings it opens read only.
Map your chart of accounts (once)
- Open Settings → Accounting (or press Account mapping on Reports → Accounting export).
- In Chart of accounts, keep Mapping for on Whole agency.
- For each line under Posts, type the Account code and the Account name exactly as in your accounting software. Xero and Odoo match accounts by code; QuickBooks and Zoho Books match by name. Empty boxes use the code shown in grey.
- In Card payments by provider, give each payment gateway its own clearing account if you want. Empty means the card clearing account.
- In Payment methods, give a method its own account if it should not go to the usual one, for example a second bank.
- Under the options, choose Dates in the files (31/12/2026, 12/31/2026 or 2026-12-31), the Xero tax rate name and the Odoo journal.
- Press Save changes. The message Accounting mapping saved appears.
If a branch keeps its own books with other accounts, choose it in Mapping for and fill in only what differs. Empty boxes use the agency mapping.
Steps to export
- Open Reports and choose the Accounting export tab.
- Choose the period, for example This month or Custom for the month you close.
- If you have several branches, choose one in Branch, or All branches.
- Choose the Format: Generic (CSV / Excel), Xero manual journals, QuickBooks Online journal entries, Zoho Books manual journals or Odoo journal entries. The screen remembers it next time.
- Keep Every document, or press Choose and untick the document types you do not want: Invoices, Debit notes, Credit notes, Payments, Refunds, Supplier costs, Supplier payments.
- Check the numbers: Journal entries and lines, Debits = credits for each currency, and Balanced (Yes or Check). First lines shows the first 50 lines as they will be in the file.
- Press CSV or Excel.
After you download
- The file is named after the format and the period, for example
journal-xero-2026-09-01-2026-09-30.csv. - Amounts are in each branch's currency, with the main currency amounts next to them in the generic format.
- The download is recorded in the agency's activity log.
- Import the file into your software as a manual journal. Column by column details are in Accounting export formats and accounts.
Warning
Download each period once and import it once. Exporting overlapping periods and importing both posts the same documents twice in your books.
If something goes wrong
- … entries are not balanced. Check these documents before posting:, and Balanced shows Check: these entries do not add up by more than a rounding amount. The Excel file adds a Not balanced sheet listing them. Check those documents before you post.
- With Xero manual journals you see: Xero does not accept receivable, payable or bank accounts in manual journals. Map those to clearing accounts in Settings → Accounting, or post them another way.
- CSV and Excel stay grey: there is nothing in the period. First lines says No documents in this period.
- The Accounting export tab is missing: your role does not include exporting reports.
- A row in Settings → Accounting disappears after saving: it had a name but no code. Type the Account code too.
