Add family travellers to a customer
Save the people who travel with a customer, with their passports, once, so every future booking can use them.
Add the customer's family members or colleagues as travellers. You enter each passport once; after that, every new booking for this customer offers them under Who is travelling.
Before you start
- You need permission to add and edit travellers.
- Have each traveller's passport, or a scan or photo of its photo page.
Steps
- Open the customer. In Travels with, press Add (or Add family when nobody is saved yet). The Add traveller window opens.
- To fill the passport details at once, press Paste passport lines, paste the two lines from the bottom of the passport photo page and press Read passport. See Fill a passport from its two machine lines.
- Check Given names and Surname exactly as printed in the passport. A new family member starts with the family's surname and nationality; change them if needed.
- Add the Name in Arabic if you have it.
- Choose the Relation to the customer, for example Spouse or Child, from the list, or type another one.
- Choose the Sex and the Date of birth. The date of birth decides whether the traveller counts as an adult, a child or an infant on a booking.
- Type the Passport number, the Nationality (three letters, as in the passport, for example BHR), the Issued and Expires dates and the Issuing country.
- Add the traveller's own Mobile and Notes (for example meals, a wheelchair or seat preferences) if useful.
- Press Add traveller.
After you add a traveller
- The message "… added" appears and the traveller is listed in Travels with, with their passport state.
- The traveller also appears in Travellers, linked to this customer.
- The next time you book for this customer, the traveller is offered under Who is travelling.
- The passport number is stored securely. Colleagues whose role cannot see full passport numbers see only the last four digits.
Tip
On Travellers you can add a traveller first and link them to a paying customer later with Customer who pays.
If something goes wrong
- Enter the given names or Enter the surname: the name is empty. Type it as printed in the passport.
- This passport has expired: the expiry date is in the past. Ask the traveller for their renewed passport; you can still save.
- Expires …, within six months: the passport expires within six months. Many countries refuse entry with less; ask for a renewed passport before the trip.
- Add is missing: your role cannot add travellers. Ask the agency owner.
