Change or release a room contract

Add or give back rooms, change the meals, rates or release date of a contract, or release the whole contract back to the hotel.

How toUpdated

Change a contract when the hotel gives you more rooms, takes some back, or changes the meals or rates. Release it when the trip no longer needs the hotel.

Before you start

  • You need permission to manage hotels.
  • Rooms that have guests cannot be given back. Move or take out the guests first.

Change the rooms, meals, rates or release date

  1. Open the hotel. In Contracts and nights, open the contract's menu (Actions) → Change rooms, meals or release date.
  2. The window Change the contracted rooms opens. The trip, the hotel and the dates are locked.
  3. Raise or lower the rooms per type. You cannot go below the rooms in use. The summary shows "+2 added · −1 returned".
  4. Change the Meals, Unsold rooms go back on or the Nightly rates if needed.
  5. Press Save rooms. The message Contract updated appears.

Rooms you add are given at once to bookings that were waiting for a room.

You do not need to lower the rooms on the release date: when Settings → Preferences → Hand unsold rooms back automatically is on, the rooms nobody booked leave the contract by themselves on that date. See Room contracts (allotments) and release dates.

You can also change a single room from its window: Remove from this contract gives one free room back ("Room 405 returned to the hotel"), and Add this room to a contract adds a room that is not contracted.

Release a whole contract

  1. Open the contract's menu → Release this contract.
  2. Read Release this contract?: "12 rooms at … go back to the hotel." If rooms still have guests, it says how many: move them first.
  3. Press Release rooms. The message Contract released appears and the rooms become hotel inventory again.

Warning

Releasing a contract also removes its rates and its rooming-list status. Change the contract instead if you only need fewer rooms.

If something goes wrong

  • Move the guests out of those rooms first: some rooms you are giving back have guests.
  • "3 rooms have guests. Move them first.": the contract cannot be released while guests are in it.
  • Some of those rooms are out of service: you tried to add rooms that are out of service.
  • Some rooms are already taken on these nights: another contract uses those rooms.
  • Contract not found: the contract was released by someone else. Refresh the page.
