QuestionUpdated

Can I change an invoice after I issued it?

No. An issued invoice never changes, so your books and tax return stay correct. Issue a credit note to reduce it or a debit note to add to it: Issue a credit note or a debit note.

Can I delete an invoice?

No. Invoice numbers run in order without gaps, so nothing can be deleted, and no screen can void an invoice, a credit note or a debit note either. To cancel an invoice, issue a credit note for everything still open on it. The invoice then shows fully credited.

The customer's name, VAT number or address is wrong on the invoice. What do I do?

Correct the customer first (open the customer, press Edit). The invoice keeps the details it was issued with, so then credit the old invoice in full and press Issue invoice again. In Saudi Arabia, if ZATCA rejected the invoice because of those details, you do not need a credit note: fix the customer and press Correct and send as a new document on the ZATCA chip. See Fix and resend a failed or rejected e-invoice.

Can I issue the invoice before the customer pays?

Yes. Issue invoice on the booking's Payments tab works whenever the booking has lines, is not cancelled and has no open invoice. The Next step card only suggests it once the booking is fully paid.

Can a booking have two invoices?

Only one at a time. Once credit notes cover the first invoice completely, you can issue a new one. Until then you see This booking already has an invoice. Issue a credit note first to change it.

Where do I see all the invoices of the agency?

In Payments → Invoices. Filter by All, Invoices, Credit notes or Debit notes, and search by Number or customer. Picking one shows the printed document beside the list, with Print or save PDF, Issue credit note and Booking.

How do I send the invoice as a PDF?

Press the printer button on the invoice row (Print or save PDF), then Print or save as PDF on the printable page, and save as PDF in the browser's print window. Attach the file to your email or chat.

Why did the invoice print in Arabic (or English)?

It prints in the language you are using, with the other language in smaller text beside each heading. Switch the language in the top bar and print again for the other version.

Why does my invoice say "Invoice" and not "Tax invoice"?

The branch's tax rules charge no tax (for example in Qatar or Kuwait), so it is not a tax invoice. Where VAT applies, it prints Tax invoice or Simplified tax invoice: see Choose a simplified or a standard (B2B) invoice.

Can I invoice in a currency other than my main currency?

The invoice uses the booking's currency. The print adds the amount in your main currency (Equivalent in) with the exchange rate. A branch in Saudi Arabia needs a currency with 2 decimals, such as SAR.

Why is there a Rounding line?

With prices that include VAT, the amount before VAT and the VAT are each rounded to the halala or fils, and together they can be 0.01 away from your price. The Rounding line keeps the Amount due equal to your price. Details: How VAT is worked out, and the Rounding line.
