Move a lead through the stages

Drag a card to the next column, use its arrow, pick a stage in the lead's panel, or move and assign many leads at once from the list.

How toUpdated

Move a lead each time the conversation moves on: you called them, they are interested, you sent a quotation. The board then shows the team where every enquiry stands.

Before you start

  • You need permission to add and move leads. Without it, cards cannot be dragged and the arrows are hidden.

Steps: one lead

  1. Open Leads in Board view.
  2. Drag the card to another column and drop it. The column you drag over is highlighted.
  3. Or press the arrow on the card, Move to the next stage, to move it one column on.
  4. Or open the lead and click a stage under Stage in its panel.

The message Moved to … confirms the move, and the card starts counting its time in the new stage from zero.

Steps: many leads at once

  1. Switch to List view.
  2. Tick the leads, or tick Select all shown in the header. You can also press Space on a row.
  3. In the bar that appears:
    • Move to stage…: choose the stage. The message says how many leads moved.
    • Assign to…: choose a team member. The message says how many leads were assigned.
    • Export selection: download the selected leads in Excel.
  4. Press Clear to clear the ticks.

You can select up to 500 leads in one action. To change one lead's owner, open it and choose the Owner.

After you move a lead

  • The first move of a new lead counts as its first reply.
  • When the lead reaches the stage that means the customer booked (by default Booked), it becomes a booked lead and its card turns green. The message … moved to …. Create the booking when ready. offers New booking, and the lead's panel shows the same choice. See Turn a lead into a quotation or a booking.
  • Moving a booked lead back to an earlier stage makes it an open lead again.
  • When you send a quotation linked to an open lead, the lead moves to Quotation sent by itself, unless it is already further along.

Note

Moving many leads at once from the list also follows these rules, but does not reopen lost leads. Use Reopen in a lost lead's panel for that. See Mark a lead as lost.

If something goes wrong

  • Unknown stage: someone removed that stage from Settings → Lists while your screen was open. Refresh the page and pick a stage that exists.
  • Choose an owner or a stage: the bulk bar was used with nothing chosen. Choose a stage or a team member.
  • The card jumps back to its column: the move was not saved, for example because the connection dropped. Try again.
