Ways to get paid: cash, transfer, card and online
How each way of paying reaches the books, from cash at the desk to online card payments, transfers customers report and customer credit.
There are three ways money reaches a booking: you record it yourself, the gateway records it after an online payment, or a colleague approves a transfer the customer reported. Which one applies depends on the kind of the payment method.
The payment methods
Your agency's list is in Settings → Payment methods. Each method has a name in English and Arabic and a kind: Cash, Bank transfer, Cheque, Card machine, Online (gateway), Other, and two built-in ones, Customer credit and Loyalty points. A new agency starts with Cash, Card, BenefitPay, Bank transfer, Payment link, Customer credit and Loyalty points. The full list of kinds is in Payment method kinds.
For each method you also choose:
- Offered in: every branch, or only some. A payment recorded by hand must use a method of the booking's branch.
- Shown to customers: whether the customer sees it on their trip page and in their account.
- Proof needed: the customer must attach a slip when they report a payment this way.
- Approved by staff: a payment the customer reports this way waits in Payments → To confirm.
- For a bank transfer: the Bank accounts customers transfer to (bank, account name, IBAN, SWIFT, account number, currency and branch) and the instructions customers read.
1. You record it: cash, card machine, cheque, checked transfer
The customer pays at the office or you see the transfer in your account. You press Record payment, the balance goes down and a receipt goes out. See Record a payment.
2. The gateway records it: online payments
You send a payment link; the customer pays by card, Apple Pay, BenefitPay, KNET or mada on the gateway's secure page (what is offered depends on your gateway). When the gateway confirms the payment, it is recorded on the booking with the online method, and the customer gets the receipt. Your gateway is set in Settings → Connections → Online payments; a branch in another country can have its own gateway account in its own currency (Payment accounts per branch). See Payment links explained.
3. A colleague approves it: transfers customers report
The customer transfers the money and reports it with the slip from their trip page, or a colleague enters it with Report a transfer. Someone who may approve transfers checks the bank account and presses Approve and record. See Confirm a transfer the customer reported.
Customer credit and loyalty points
These are paid from the customer's own balance, by the customer, in their account. Staff cannot type them in as a payment. See Refunds and customer credit.
Example
A family books a trip for BHD 1,200. They pay a BHD 360 deposit by card through a payment link: it is recorded by itself. Two weeks later the father transfers BHD 600 and reports it with the slip: the finance team approves it after checking the account. The last BHD 240 is paid in cash at the office: the sales agent records it and prints the receipt.
