Branches, currencies and exchange rates in reports
How reports add up branches that sell in different currencies, which exchange rate each amount uses, and how to choose the report currency.
Every amount is saved in its own currency, with the exchange rate to your main currency on the day it happened. A report converts each amount into the currency you choose, so branches in Bahrain, Saudi Arabia or the UAE add up to one total. By default each amount uses the rate of its own day, so last year's numbers do not change when rates move.
The main currency and the report currency
- The main currency (shown as Base currency in the currency list) is set for the agency. Every exchange rate is "1 unit = so much in the main currency". It cannot change once money has been recorded.
- The report currency is the one you read the reports in. Settings → Currencies → Reports open in sets the currency the reports, the dashboard and the owner's phone open in for everyone.
- Each person can switch with Show amounts in on the screen. The choice, with the branch and the rate mode, is remembered on that person's device.
Only currencies with an exchange rate can be chosen; the others show No rate yet.
Which rate each amount uses
Under Exchange rates you choose one of two ways:
| Choice | What it does | Use it for |
|---|---|---|
| Rate of each day (As recorded) | Each amount goes to the main currency at the rate saved with it on its day, then to the report currency at that same day's rate. An amount already in the report currency is never converted. | Month-end figures, comparing periods, matching your books. |
| Today’s rates (What it is worth now) | Every amount is converted at today's rates. | Seeing what open balances or past sales are worth today. |
The line under the tabs repeats your choice: "Amounts in …, each converted at the rate of its own day." or "Amounts in …, converted at today's rates."
Which day counts:
- Bookings (sales, revenue, balances owed): the day the booking was made.
- Payments and refunds: the day the money was received.
- Supplier costs: the day the cost was entered. The cost keeps that rate, so later payments at other rates do not change profit.
- Costs planned on a trip: the departure day, or today for a trip that has not left yet.
Example
Your main currency is BHD and you have a Riyadh branch that sells in SAR. A booking of SAR 10,000 is made on 1 March, when 1 SAR = 0.1003 BHD. With Rate of each day, the report in BHD shows BHD 1,003.000 for it, today and next year. With Today’s rates it shows what SAR 10,000 is worth at today's rate. Read in SAR, it shows SAR 10,000 in both cases.
Branches
- Branch shows All branches or one branch. People limited to one branch only see their own.
- Under each report, By branch shows each branch's figures in the report currency, with the branch's own currency under its name. No branch collects records without a branch.
- By currency lists each original currency: Records, In that currency and In the report currency, so you can see what each currency adds to the total.
The VAT report and the Accounting export do not use the report currency: each branch stays in its own currency, as its VAT return and its books need. See Use the VAT report for your return.
When a rate is missing
If a currency in the data has no exchange rate, a red note says so and those amounts use the rate saved on each record. Add the rate in Settings → Currencies. Choosing a report currency without a rate gives There is no exchange rate for …. Add it in Settings → Currencies.
