Change, disable or remove a team member
Change someone's role, branch or sign-in email, send them a password reset link, or stop them signing in when they leave.
Use this when a teammate changes job, moves to another branch, forgets their password or leaves the agency. Everything starts from the menu at the end of their row in Team and roles → Team.
Before you start
- Your role needs Manage the team.
- Only an owner can change an owner. Owner rows show a lock for everyone else.
Steps
Change the role, branch or details
- Open Team and roles → Team and find the person with Find a person.
- Open the menu at the end of their row and choose Edit.
- Change Name in English, Name in Arabic, Sign-in email, Role, Branch or Mobile.
- Only an owner can change Sign-in email. For everyone else it is greyed out with Only an owner can change it.
- For a role that does not see every branch, Branch is required: Sees only the work of this branch, so a branch is required. No own branch (sees every branch) is offered only for an owner or a role with See and work in every branch.
- Press Save. If you changed the email, the window Change the sign-in email of …? says they sign in with the new email from now on, their password stays the same, and a reset link sent to the old address stops working. Press Change email.
- The message Saved appears. A new sign-in email is written to the audit log.
The new role applies the next time their page loads: they gain the new role's permissions and lose the ones the old role had. A new branch changes which branch's records they see unless they can see every branch: Branches and who sees what.
Send a password reset link
- In the row menu, choose Password reset link.
- In the window Make a password reset link for …?, press Make link.
- The window Password reset link for … shows the link with Copy, and says what happened to the email:
- Emailed to …: sent from your agency's email.
- Emailed to … from …'s email, because your agency's email is not connected.: the system's own email sent it, with a closing line saying it comes on behalf of your agency.
- The email to … could not be sent. or Email is not connected, so nothing was sent.: copy the link and send it by WhatsApp or any way you like.
Their current password keeps working until they use the link. The link works for 24 hours, and the window says so.
Disable someone who left
- In the row menu, choose Disable.
- Read the window Disable …?: they are signed out everywhere at once and cannot sign in. Their bookings and history stay. Press Disable.
The message … can no longer sign in appears. The status becomes Disabled, the row shows faded and their seat is free.
Enable them again
- In the row menu of a disabled person, choose Enable.
- Someone who had joined can sign in again with their old password: … can sign in again. Someone who never accepted the invitation goes back to Invited: send the invitation again from the menu.
Enabling takes a seat again.
What the person loses
- Disable: all sign-ins end at once, on every device. Open pages show Your session has ended. Please sign in again., and signing in shows This account is not active. Nothing they did is deleted: bookings, payments, notes and the audit log keep their name.
- Change role: the permissions of the old role, from their next page load.
- Change branch: the records of their old branch, if they see one branch only.
Note
You cannot delete a person who has joined, so that your history stays complete. Disable them instead. Only an invitation that nobody accepted can be removed, with Cancel invitation.
If something goes wrong
- You cannot change your own access: you tried to change your own role or disable yourself. Ask another owner. The Role box in your own Edit window says You cannot change your own role.
- Only an owner can change an owner: ask an owner.
- Someone already uses this email: another account, in your agency or in another one, has the new sign-in email. Use another email.
- Choose a branch: this role sees only the work of its own branch: choose a Branch, or a role that sees every branch.
- The agency needs at least one active owner: you are disabling the last active owner, or giving them another role. Make someone else an owner first.
- Your … plan allows … users. Upgrade the plan in Settings → Plan and billing to add more.: enabling needs a free seat. Disable someone else or upgrade in Settings → Plan and billing.
- Only invitations can be removed. Disable the account instead.: the person has already joined. Use Disable.
