Travellers: frequent questions

Short answers about the six-month passport rule, removing travellers, hidden passport numbers and travellers without a customer.

QuestionUpdated

Why does a valid passport show "Passport expires too soon"?

Because it expires less than six months after the traveller returns from their next trip. Many countries refuse entry with less than six months left, so the system checks the passport against the return date of the next booked trip, or against today when no trip is booked. Press Ask for a renewed passport to send the customer a WhatsApp request.

How do I see every passport that needs attention?

Open Travellers and choose Passport expiring. The count next to it shows how many passports to check; the list starts with the passports that expire first.

Why can't I remove a traveller?

A traveller who is on a booking cannot be removed: you see This traveller is on a booking. Remove them from the booking first. Remove them from the booking, or keep the profile. Removing a traveller also deletes their passport details and documents.

Why do I see only "••••" and four digits of the passport number?

Your role does not include seeing full passport numbers. You can still replace the number: in Edit traveller, the field shows "Saved as …"; type a new number only to replace it, or leave it empty to keep the saved one. The agency owner can add the permission in Team and roles.

Can a traveller have no customer?

Yes. A traveller added on Travellers without Customer who pays, or whose customer was deleted, stays saved without a customer. Open Edit details and choose the customer in Customer who pays to link them.

Is the exported file safe to share?

Only with care. If your role can see full passport numbers, the exported Excel file contains them in full, and the system reminds you: Passport numbers are in full in this file, so keep it safe. Share it only with people who need it.
