How your plan and billing work
Trial, monthly or yearly renewals, due dates and grace days, what happens when a payment is late, and the bar each state shows.
Your agency pays the platform for its plan, monthly or yearly. Each period is paid in advance with one invoice, emailed with a secure payment link. If an invoice stays unpaid after its due date and a few grace days, the account is paused until it is paid; your data is always kept.
The free trial
A new agency starts on a free trial of the plan it chose. During the trial:
- The chip on Plan and billing says Trial with the days left, and the side menu shows Trial: … days left on the … plan.
- You can change the plan as often as you like. The change applies at once and costs nothing.
- For a paid plan, the billing email gets a reminder 7 days and 1 day before the trial ends.
- Next invoice shows what the first invoice will be, with Your first invoice comes when the trial ends.
As soon as the trial ends, a paid plan becomes Active and its first invoice is issued for the first period. A free plan becomes Active too. A trial you cancelled ends with the account paused (subscription ended). For a moment the side menu may say Your trial has ended. Your plan and first invoice are being set up now.
Renewals and invoices
- Paid until on Plan and billing is the date your subscription is paid up to.
- When that date comes, the invoice for the next period (one month or one year) is issued and emailed to the billing email. It is Due for 7 days by default (the platform sets the number of days; the invoice shows its due date).
- When it is paid, Paid until moves forward by one period and a receipt is emailed.
- Each invoice shows the plan, the period, the subtotal, the tax (if the platform charges tax) and the total. Print any invoice, or save it as PDF, from Invoice history.
- A plan can be billed Monthly or Yearly. Some plans are cheaper yearly; the Change plan window shows Save …% on them.
Example: your agency is on a monthly plan, paid until 1 November. On 1 November the invoice for 1 November to 1 December is issued, due on 8 November. You pay on 3 November; Paid until becomes 1 December.
When a payment is late
- Due: the invoice is waiting. Nothing changes for your team.
- Overdue: the due date passed. The account becomes Payment overdue. Everyone still works normally, but a red bar at the top of every screen says A payment is overdue. Please pay the open invoice to keep your account running. People with Manage the plan and pay invoices also see Pay now in the bar. The billing email receives a reminder with the date the account will be paused.
- Paused: the invoice is still unpaid a number of grace days after its due date (7 by default). The account is paused: your team sees only the Account paused screen with Plan and billing, and the billing email is told. See Account paused.
- Paid: as soon as the overdue invoice is paid, the account is Active again, at once. Nothing is lost.
Warning
While the account is paused, nobody in your team can work, and your customers cannot sign in to their customer account. Pay the overdue invoice before the date in the reminder email.
Cancelling and reactivating
- Cancel at period end stops the subscription at the end of the period you already paid for. Until then the chip says Cancelling, everything works, Next invoice says No more invoices, and no new invoice is issued.
- Changed your mind? Press Reactivate before the date and the plan carries on with no break.
- On the date, the subscription ends: the chip says Cancelled and the account is paused. Your data is kept. To come back, press Reactivate on Plan and billing: a new period of the current plan starts today with an invoice (none on the free plan), and the account opens at once. Pay the invoice by its due date.
Changing plan
- A bigger plan applies straight away. One invoice covers the rest of the current period: the new plan's price for the time left, minus a credit for the time you already paid on the old plan.
- A smaller plan, or moving from yearly to monthly, waits for the end of the period you paid for. Nothing is charged now.
The steps are in Change your plan and pay the invoice.
