Dashboard questions
Answers about the dashboard numbers, the period they cover, branches, currencies, who sees money figures and how often it refreshes.
What period do the dashboard numbers cover?
The tiles under This month in numbers cover the current calendar month, from the 1st until now, in your agency's own time zone. Sales this month and New bookings count confirmed bookings made this month; Payments received counts payments received this month, less refunds. Outstanding is not a monthly figure: it is everything customers still owe today.
The change under a tile (Up 12% on last month) compares this month so far with the whole of last month, so early in the month it is often down. Owner's phone uses the last seven days instead, compared with the seven days before.
Why do I see different numbers from my colleague?
You are probably looking at a different branch, a different currency or a different role. The money figures, new bookings, the chart, the upcoming departures and the alerts follow the branch chosen in the top bar; the amounts follow the currency chosen in the currency box. Some tiles and alerts appear only for some roles. Choose the same branch and currency to compare.
How do I see only one branch?
Choose the branch in the branch switcher in the top bar. All branches shows the whole agency. You see the switcher when your agency has more than one branch, and you can choose only the branches your role covers. See Switch the branch you are viewing.
Can I see the totals in another currency?
Yes. Choose the currency in the currency box at the top of the Dashboard or Owner's phone. Each amount is first taken to your main currency at the rate of its own day, then converted at today's rate. A currency without an exchange rate shows No rate yet and cannot be chosen; add its rate in Settings first.
Who sees the money figures?
Only people whose role may see payments, profit or reports. They see Sales this month, Payments received, Outstanding, the sales chart, the amounts in alerts and, on Owner's phone, Money in this week and Owed to us. Everyone else who can see the dashboard sees counts instead: New bookings, Open leads and the Bookings chart. The agency owner sets this in Team and roles.
How often does the dashboard refresh?
Every two minutes, by itself. The menu badges and the bell refresh on the same rhythm, and the Inbox badge every 30 seconds. To see a change at once, reload the page.
Why does the Dashboard item in the menu show a number?
It is the number of kinds of alert waiting in Needs attention: overdue balances, passports, quotations about to expire, customer payments to confirm, chats waiting for a reply and so on. It counts only the alerts of the branch chosen in the top bar that your role may see. It is not the number of bookings or records. See What each alert means.
Is Owner's phone only for the owner?
No. Anyone whose role can see the dashboard can open Owner's phone. The money tiles follow the same rule as on the Dashboard, and Waiting for you needs permission to see quotations.
