Branches and what each person sees

How branches split trips, bookings, payments and invoices by office and country, and why two colleagues can see different lists.

ConceptUpdated

A branch is one office of your agency, in one country, with its own currency, tax rules and invoice details. Every agency has at least one branch, the Main branch. People who work in one branch see that branch's trips, bookings and money; the owner, managers and finance see every branch.

What a branch decides

Each branch works by its country. In Settings → Branches, every branch has:

  • a name in English and Arabic, a Country and a Currency;
  • a Short code, used in document numbers, for example RUH;
  • its tax rule and, in Saudi Arabia, e-invoicing with ZATCA;
  • the Seller details on invoices: the legal name, VAT number and address printed on that branch's invoices.

So a Bahrain office and a Riyadh office of the same agency can sell in BHD and SAR, each with the right VAT and invoices.

What each person sees

Every team member belongs to a branch (chosen in Team and roles). For a person without See and work in every branch the branch is required: without one they would see no branch's work at all. Only owners and people with that permission can have No own branch (sees every branch).

Who What they see
People with See and work in every branch (owner, manager and finance by default) Every branch. They can narrow the screens to one branch with the branch button in the top bar.
Everyone else Only their own branch's trips, bookings, payments, invoices, quotations, leads and reports. New records they create go to their branch.

The alerts on the dashboard, on the bell and in the menu badge follow the same rule: a person limited to one branch sees that branch's alerts, and people who see every branch see the alerts of the branch chosen in the top bar.

Some records are shared by the whole agency, whatever the branch: customers, travellers, hotels and settings. Customer chats in the Inbox follow the customer's bookings: a person limited to one branch sees the chats of customers who have a booking in that branch, or no booking yet.

An example

Al Nasr Travel has a main branch in Manama and a branch in Riyadh. Hassan works in sales in Riyadh. He sees the Riyadh trips and bookings, and he books customers on them in SAR. Mariam, the manager, sees both branches. In the morning she picks All branches to see the whole agency on the dashboard, then picks Riyadh to check that branch's overdue balances.

Note

A record that has no branch (for example from before the agency added branches) stays visible to everyone.

Switching off and removing a branch

  • Switch off keeps the branch and its history. A switched-off branch is no longer offered in the branch button. The main branch cannot be switched off: make another branch the main one first.
  • Remove works only for a branch with no team members, trips, bookings or invoices.
  • Make main branch chooses the branch that new records go to when nothing else decides, for example for a person who sees every branch and has no own branch. Only a branch that is switched on can become the main branch.
