How the app is organised

What each screen is for, how a lead becomes a quotation, a booking, payments and an invoice, and the patterns every screen shares.

ConceptUpdated

The app follows the life of a trip sale: an enquiry comes in, you send prices, the customer books and pays, the team prepares the travel, and the money is counted. Each step has its own screen, and each record links to the ones before and after it.

The screens and what they are for

How one sale moves through the app

  1. A customer asks about Georgia in December. You add a lead on Leads.
  2. You prepare a quotation with two or three options and send it on WhatsApp. The lead moves to the quotation stage by itself.
  3. The customer opens the link and chooses an option. You turn that option into a booking in one step: the customer, the number of travellers and the price carry over.
  4. You record the deposit, or send a payment link. The booking shows what is still owed and when.
  5. The team adds the travellers' passports, gives out hotel rooms, uploads documents and ticks the trip's tasks.
  6. Before departure, Departures shows whether everyone is ready. Reports and Suppliers and profit show what the trip earned.

Not every sale starts with a lead: you can create a booking straight away for a walk-in customer, see Create a booking.

Patterns you see on every screen

  • A list and a detail side by side. On a computer, the list stays on one side and the record you choose opens beside it. On a phone you see one at a time, with a back link such as All customers.
  • A search box and filters at the top of the list. Press / to jump into the search box.
  • The main button at the top (for example Add lead, New quotation, Add customer). Press N on the list to do the same.
  • Export: downloads what the list shows, with your search and filters, as an Excel file.
  • More actions (the ⋮ button): less common actions such as duplicate or delete.
  • Panels that slide in from the side for a quick edit. Esc closes them.
  • Messages at the bottom of the screen confirm what happened, often with an Undo button for a few seconds.

See Confirmation windows and pop-up messages for how windows and messages behave.

Why you may not see a screen or a button

Your role decides which screens and buttons you see. A sales person may see bookings but not supplier costs; finance may see payments but not change trips. If you need more, ask the agency owner to change your role in Team and roles. Your branch decides which trips and bookings you see when the agency has several offices: see Branches and what each person sees.
