Trip profit, break-even and supplier costs
How the trip page works out revenue, cost, profit, margin and break-even, and how to add the supplier costs of a trip.
The Money card on the trip page tells you whether the trip makes money and how many travellers it needs to break even. It starts from the costs you planned in the trip editor and switches to the real supplier costs as soon as you enter the first one.
Planned costs
In the trip editor, under Prices:
- Fixed costs: what the whole group costs, whatever its size (coach, guide).
- Cost per traveller: what each traveller costs (seat, room, visa).
Planned cost = fixed costs + cost per traveller × travellers booked.
Supplier costs
On the Costs tab (for roles that can see costs), press Add cost. The window Add a supplier cost says It counts in the trip’s profit straight away. Fill in:
- Supplier (required), For (what it is for, required) and Amount (above zero).
- Currency: your main currency or another active currency; it starts with the supplier's currency. Other currencies need an exchange rate in Settings → Currencies.
- Charged: Whole group or Per traveller (multiplied by the travellers booked).
- Pay by: when you must pay the supplier. Optional.
- The VAT fields of the supplier's invoice, when you have them.
Press the button to save. The message Cost added appears.
Note
Once the trip has one supplier cost, the supplier costs replace the plan: the planned line is struck through with Not counted: supplier costs replace the plan. The two are never added together.
Each cost row shows Supplier, For, Due, Cost and Paid with a chip: Paid, Part paid, Overdue or To pay. On a row you can Record payment to the supplier, Show payments, or remove it with Remove cost (confirm Remove this cost?).
What the Money card shows
Only roles that can see profit see this card.
| Line | Meaning |
|---|---|
| Price from | The lowest price per person. |
| Revenue | The total of the trip's bookings. |
| Supplier costs / Planned costs | The real costs, or the plan while there are none. |
| Profit | Revenue minus costs. |
| Margin | Profit as a share of revenue. |
The break-even bar says "Break-even at 12 travellers" and then Above break-even or "3 more to break even". If the price is lower than the cost per traveller, it says The price does not cover the cost per traveller. Under the bar: the travellers booked and the profit or loss per traveller.
The editor's Price and profit table
While you edit, the side panel Price and profit shows the travellers, revenue, cost and profit at the minimum and when full, with the break-even point. Use it to check the price before you publish.
