Leads: questions and answers

Short answers about lost leads on the board, duplicate mobiles, the numbers at the top, stages, owners and deleting leads.

QuestionUpdated

Where did my lost lead go?

Lost leads leave the board. Switch to List view and tick Show lost leads to see them, then open one and press Reopen to bring it back.

Why does a lead show "No reply yet"?

Nobody has replied to it yet. A call or a WhatsApp message from the lead's panel, a note, a stage move or a sent quotation (one that went out, or opened in WhatsApp) counts as the reply. Calling from your own phone without using the panel does not count, so add a note after the call.

Can I add a lead whose mobile is already saved?

Yes. The form shows This mobile is already saved with the matching leads and customers, but you can still add it. When you later convert the lead, it is linked to the saved customer instead of creating a second one.

Why do the numbers at the top not change when I pick a source?

The numbers follow only the Owner filter. They always count the current month for all sources, whatever you type in the search.

Why does Conversion look higher than I expect?

Conversion compares leads that booked this month with leads added this month. A lead added last month that books this month counts as booked this month, so the rate can rise. It never shows more than 100%.

Can I change the stage names or add a stage?

Yes, in Settings → Lists → Lead stages. The order there is the order of the columns. Tick This stage means the customer booked on the stage that means a sale. If you remove a stage that still has leads, those leads show in the first column.

Who can see my leads?

Everyone who can view leads in your branch sees every lead there. The Owner filter only narrows the view; it does not hide leads from others.

How do I give a lead to a colleague?

Open the lead and choose the colleague in Owner. For many leads, use List view, tick them and choose Assign to….

Can I delete a lead?

Yes, if your role can manage leads: open it, press ⋮ → Delete lead, then Delete. The lead and its notes are removed; its quotations stay. To keep the history and the reports right, mark it as lost instead.

Can I export my leads to Excel?

Yes. Export at the top downloads the leads that match the filters. In List view, tick some leads and press Export selection for just those. The file has the number, name, mobile, email, request, likely value, source, stage, status, lost reason, owner, first reply in minutes and the date added.
