Settings questions
Short answers about settings: who can change them, missing sections, saving, finding a setting, effect on existing records, language and data export.
Who can change the settings?
Anyone whose role has the permission Change settings. By default that is the Owner and the Manager. To give it to someone else, add it to their role in Team and roles. See Roles and permissions explained.
A few actions need one more permission: the plan and its invoices need Manage the plan and pay invoices (only the owner by default), two-step sign-in for other people needs Manage the team, the full export needs Export all data and the audit log needs See the audit log.
Why can I not see Settings, a section or a button?
- Settings is not in your menu, or you see This screen is not part of your role: your role does not have Change settings. Ask the owner.
- Everyone who can open Settings sees all its sections. When a button is off or a part is missing inside a section, that action needs one of the extra permissions above. Plan and billing, for example, shows a note that only the account owner can change the plan.
- On Customer portal and loyalty, changing which trips customers can book needs Build and publish trips.
Do I need to press Save?
It depends on the screen. Switches, choices, colours, numbers and list changes are saved the moment you change them,
and a short message such as Setting saved confirms it. Agency and brand, the voucher texts in
Preferences and Accounting have a save bar at the bottom: press Save changes or Ctrl S. Message
templates, checklists and quick replies have their own save button. If you try to leave with unsaved changes, the
system asks Leave without saving? first.
How do I find a setting quickly?
Type a word in Find a setting at the top of Settings, in English or Arabic, for example deposit, otp
or العربون. Pick a result with the mouse or with ↓, ↑ and Enter: its section opens and the setting glows once.
See The Settings screen.
Does changing a setting change my existing bookings, quotations or invoices?
No. Most settings apply to what is created from now on:
- Quotes are valid for sets the expiry of new quotations. Existing quotations keep their date; change it on the quotation if needed.
- Usual deposit and Balance due before departure are used when a new booking is made. Existing bookings keep their deposit and due date.
- Numbering changes the numbers given from now on. Numbers already given do not change. See Numbering.
- A new Main currency does not convert amounts already saved, and it cannot change once money is recorded.
- Message templates are used for the next message. Messages already sent stay as they were.
- Trip checklists are copied onto new trips. Existing trips keep their tasks.
Some changes show everywhere at once: the brand colour and logo, and the names and colours of list items, even on old records.
What is the difference between the default language and my own language?
Default language in Agency and brand is the language given to new team members and new customers. Each person then chooses their own: team members in My account → Language (for their screens and the emails they receive), and customers on their customer record. Messages go to each customer in the customer's language.
Where are import and export?
- Export all your data: Settings → Data and logs → Export downloads everything in one JSON file (passport numbers are left out). It needs Export all data. See Export your data and read the audit log.
- Excel exports: most lists, such as Bookings, have Export to Excel.
- Customers → Import from Excel brings in your customer list.
- Settings → Currencies has Import for exchange rates.
