Let customers book a trip online

Choose which trips customers see in their account and whether they book at once or send a request you confirm.

How toUpdated

Customers who sign in to their account can book your trips themselves. You decide, trip by trip, whether a trip is hidden, bookable On request or bookable Instant.

Before you start

  • Customer accounts must be on: Settings → Customer portal and loyalty → Customers can sign in.
  • You need permission to manage trips.
  • Only published trips that leave in the future can be booked. A draft shows "draft, not shown until published".

Steps

  1. Open Settings → Customer portal and loyalty and scroll to Trips customers can book.
  2. For each upcoming trip, choose:
    • Hidden: customers do not see it.
    • On request: customers see it and send a request. It reaches you as a lead with the trip on it, for you to confirm.
    • Instant: the booking is made at once, the seats are taken and the deposit is asked.
  3. To open every published trip in one go, press All on request or All instant. The message Published trips are open in the app appears.
  4. Press the camera button (Picture) next to a trip to add the picture customers see (JPEG, PNG or WebP). The message Picture saved appears.
  5. In the same screen, check under Customer accounts:
    • Deposit when booking in the app: Usual (your usual deposit in Preferences), 10%, 20%, 30%, 50% or Full.
    • Unpaid app bookings hold seats for: the hours an instant booking keeps its seats while nothing is paid. 0 keeps it.

Each change saves at once, with the message Trip updated or Setting saved.

What happens when a customer books

  • Instant: the booking is created with its number, the seats are taken, and the customer is asked for the deposit. If nothing is paid and no transfer proof is waiting within the hours you set, the booking is cancelled and the seats go back on sale. A note "New booking … made in the portal" appears in the customer's chat.
  • On request: a lead is created with the trip, the party and the estimated total, and a high-priority task "Confirm the portal request of … for …" is due today. The request also appears in the customer's chat. See Tasks the system creates for you.

Note

Customers never see more seats than you have left: held seats and sold seats are taken off. A trip that fills up shows Full and cannot be booked.
