Your first day: what to set up and in which order

The order that gets a new agency selling fastest, from agency details and connections to your first trip, booking and payment.

ConceptUpdated

You can sell on the first day. Set up what customers will see first (your name, logo and messages), then what your team needs to work, then make one real trip and one real booking. Each step below takes a few minutes, and you can change all of it later.

1. Who you are (10 minutes)

Run the setup wizard, or open Settings → Agency and brand:

  • the agency name in English and Arabic, country, main currency, time zone and VAT number;
  • your logo, brand colour and default language.

They appear on invoices, quotations, emails and the customer's trip page. See Finish setting up your agency.

2. How you reach customers (15 minutes)

Open Settings → Connections and connect what you already use:

  • WhatsApp: confirmations, quotations, receipts and reminders. The simplest way needs nothing to fill in: each message opens in WhatsApp for you to press send.
  • Email: invitations to your team, receipts and invoices.
  • SMS, if you use it: trip page codes and short reminders.
  • Online payments: your payment gateway, so customers can pay a deposit or the balance by card through a link. Start in test mode, then switch to live.
  • File storage: where passports, tickets and other files are kept.

For each one: pick the provider, fill in the details, Save, then Test it. A connection shows Connected when it works.

3. Your lists and numbers (15 minutes)

Check the defaults in Settings and change only what differs from how you work:

  • Lists: where leads come from, your lead stages, the reasons you lose a lead, customer segments, room types.
  • Payment methods: cash, card machine, bank transfer and the others your branches accept.
  • Taxes and Currencies: the VAT rule of your country and the currencies you sell in.
  • Numbering: how booking, invoice and receipt numbers look.
  • Message templates: the wording of the messages customers receive.

4. Your team (5 minutes)

Invite your colleagues in Team and roles and give each a role: owner, manager, sales, operations, finance or viewer. Each role decides what that person sees, for example who sees supplier costs and profit.

5. Your customers (5 minutes)

Import the customer list you keep in Excel today: Customers → Import from Excel. Duplicates by mobile or email are merged. See Import customers from Excel.

6. Your first trip and booking

  1. Add your hotels and contract rooms, if your trips include them (Hotels and rooms).
  2. Create one real trip or package with its dates, seats and price, and publish it (Trips and packages).
  3. Make the first booking: Create a booking.
  4. Record the first payment: Record a payment.

Tip

Do the first booking with a colleague as the customer, with your own mobile number. You see exactly what your customers receive on WhatsApp, and you can cancel it afterwards.

What you can leave for later

Reports, accounting export, e-invoicing (only for branches in Saudi Arabia, once the branch is registered with ZATCA), the customer account and loyalty points, offers and promo codes. None of them is needed to take your first booking.
