Seats, holds and the minimum group size
How seats sold, held and left are counted, when a traveller counts toward the minimum, and what Full and Below minimum mean.
Every trip has a number of Seats for sale and a Minimum to run. The system counts the seats live, so two people can never sell the same seat.
How seats are counted
- Sold: the travellers on the trip's confirmed bookings. Adults and children always take a seat. Infants take a seat only when Settings → Preferences → Babies take a seat is on.
- On hold: seats kept aside with Hold seats. They count only until the hold time runs out.
- Left = seats for sale − sold − on hold. Nobody can book more than the seats left, in the office or online.
For example, a trip with 20 seats, 14 sold and 4 on hold has 2 seats left. When the hold ends, it has 6.
Full
When the last seat is sold, the trip shows Full and Full. New sales are closed automatically. You cannot add seats below what is sold, but you can raise Seats for sale in the editor to open more.
The minimum to run
The minimum is how many travellers you need before the trip goes ahead. Only adults and children count; infants do not. In the trip editor, A traveller counts toward the minimum once decides when a traveller counts:
| Choice | A traveller counts when … |
|---|---|
| Booked | the booking is confirmed (the default). |
| Deposit paid | the booking has paid its deposit. |
| Fully paid | the booking is paid in full. |
While the count is under the minimum, the trip shows Below minimum, the seats card says how many more travellers are needed, and Departures shows "Below minimum: 6/8". When a booking reaches the minimum, the trip shows Confirmed and a message tells you.
